Privacy policy

This policy describes how Realty Automations ("we", "us") handles your information when you use this website, join our waitlist, or use the Realty Automations agent application at app.realtyautomations.org (the "App").

This website and the waitlist

When you join the waitlist, we collect the information you provide in the signup form: your name (if you provide it) and your email address. We use your email address to confirm your place on the waitlist and to send early-access invitations and occasional product updates. Every email includes an unsubscribe link.

Waitlist submissions are processed and stored by Formspree, our form-handling provider, under their privacy policy. This website does not use advertising trackers, and we do not collect payment information.

The App: what we collect

• Content you provide — property facts, lead context, and similar text you enter to generate drafts.
• Drafts — the listing descriptions and follow-up messages generated for you.
• Connected-service data — if you connect a CRM (such as Follow Up Boss) or your email account, the data described below.

Google user data (Gmail)

If you choose to connect your Gmail account, the App requests permission to:

• Send email on your behalf (gmail.send) — used only when you click "Send" on a draft you have reviewed. We never send email without an explicit action from you.
• Read your email (gmail.readonly) — used only for the optional "Learn my voice" feature, which reads a sample of your recent sent messages to build a short, style-only writing profile (greeting style, tone, sentence rhythm). The profile never includes names, addresses, prices, or any other facts from your emails, and you can view and delete it in the App at any time. We do not store copies of your email messages.

Your Google sign-in tokens are stored securely on our servers and used solely to provide these features. We do not share, sell, or transfer Google user data to third parties, except as necessary to provide the features above (see "AI processing" below), to comply with applicable law, or as part of a merger or acquisition with notice to you. No humans read your email, and Google user data is never used for advertising.

You can disconnect Gmail in the App at any time, which deletes our stored tokens, or revoke the App's access from your Google account permissions page.

Realty Automations' use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

AI processing

To generate drafts and the voice profile, the content you provide (and, for voice learning, samples of your sent email) is processed by Anthropic's Claude API, our AI provider, under commercial terms that prohibit Anthropic from training models on this data. We do not use your data to train AI models, and your data is never used to generate content for other customers.

CRM data

If you connect a CRM such as Follow Up Boss, the App reads lead details (name, stage, recent notes) only to pre-fill draft context when you select a lead, and writes back only the notes you explicitly choose to log. We do not store copies of your CRM database.

Where your data is stored

The App is hosted on Render (United States). Data is encrypted in transit (HTTPS). We retain App data only as long as needed to provide the service, and connection tokens are deleted when you disconnect a service.

Your rights

You can request a copy of the information we hold about you, ask us to correct it, or ask us to delete it entirely. Email hello@realtyautomations.org and we'll respond within 30 days.

Changes to this policy

If we make material changes to this policy, we'll update the date above and, where appropriate, notify you by email.
